# Privacy Notice

Last updated: October 29, 2026.

This notice explains what personal information Adhoc ("we", "us") collects through the website at https://www.adhocs.ca (the "Website"), why, and what you can ask us to do with it. It covers the Website only. Information that customers process in the Adhoc application at https://app.adhocs.ca is governed by the agreement with that customer.

> **In short.** We collect only what you type into our contact forms, we use it to reply to you, and we do not sell it. Our analytics set no cookies unless you allow them, and never identify you by name or email.

## 1. Information you give us

When you book a walkthrough or contact us through a form on the Website, we receive:

- your email address (required);
- if you choose to provide them, your full name, country, role, and a message of up to 2,000 characters;
- which form you used (for example, the hero, the closing call to action, or the footer).

We use this information to reply to you, to arrange and run a walkthrough you asked for, and to follow up about that request. We send a confirmation email to the address you entered. That confirmation does not repeat your message back to you.

## 2. Information collected automatically

- Analytics. We use an analytics service to understand how the Website is used: the pages you view, where you came from, your country, your browser and device type, and the links and buttons you click. Unless you allow cookies (section 3), it sets no cookies and stores nothing in your browser: to count visitors, it turns your IP address and browser type into a code that changes every day and cannot be traced back to you, and it does not keep your IP address. We work out your country from your IP address on our own server and send the analytics service only the country, never the address.
- Tool usage. These records are anonymous unless you allow cookies; then they carry the same random identifier as your visits. The duty calculator starts with a country of origin and currency chosen from your country, which we work out from your IP address on our own server; the address itself is not kept. When you use the duty calculator or the CFIA requirements check, we record the code you looked up, the country of origin, currency, trade terms and tariff treatment you chose, whether the calculator priced its own starting values or yours, and how the check ended. We do not record the value, quantity or freight amounts you enter. When you pick a result from the HS code search, we record what you searched for and the code you picked.
- Errors. If part of the Website fails, in your browser or on our server, we record the error message, where in our code it happened, the page, and your browser type and country, so we can fix it.
- Page speed. We record how quickly each page loads and responds in your browser, and which page element was slow, so we can make the Website faster.
- Automated visitors. We log requests from search engines, AI assistants and other automated software (the page requested and the software's name) to understand how they read the Website.
- Abuse prevention. When you submit a form, we use your IP address to limit how many submissions one address can send per hour. We do not keep it after that hour.
- Hosting. Our hosting provider processes the technical information any website receives (such as your IP address, browser type, and the pages requested) to deliver and secure the Website.
- Browser storage. If you switch between light and dark mode, or answer the cookie question, your choice is saved in your own browser's local storage. It never leaves your device.

The Website's fonts are served from our own domain, so loading a page does not send your information to a font provider.

## 3. Cookies

We ask before we set any cookie. If you allow analytics cookies, our analytics service stores a random identifier in a cookie and in your browser's local storage for up to one year, so it can recognise your return visits and tell us which pages led to a form or tool you used. It does not identify you by name or email, and we do not use it for advertising. If you decline, or do not answer, the Website sets no cookies and counts your visit as described in section 2. You can change your choice on this page at any time; declining removes the cookie.

## 4. Who we share it with

We do not sell or rent personal information. We share it only with the service providers that run the Website on our behalf: an email delivery provider that sends form submissions to our team and confirmation emails to you, our website host, our business email provider, and our analytics provider, which never receives your name, email address or IP address. These providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information where the law requires it.

## 5. How long we keep it

We keep enquiries for as long as we need them to respond to you and to maintain our business relationship, and we delete them when you ask us to, unless the law requires us to keep them.

## 6. Your choices and rights

You can ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you can withdraw your consent to our using it. Email hello@adhocs.ca and we will respond within 30 days. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada at https://www.priv.gc.ca, or, in Québec, the Commission d'accès à l'information at https://www.cai.gouv.qc.ca.

## 7. Changes and contact

We will update this notice when our practices change and show the new date at the top of this page. Questions about privacy go to hello@adhocs.ca.
